Track bank charges

A separate ledger for fees the bank takes out of your account.

Banks take their cut quietly: transfer fees, cheque return charges, account maintenance. None of it belongs to a party, and none of it is an invoice — but it is money that left your account.

The Bank Charges tab is a small ledger of exactly that, kept apart from party balances so it can never distort what someone owes you.

Record a bank entry

    Go to Manage Payments → Bank Charges.

    Add an entry.

    Choose the direction: Credited for money in, Debited for money out.

    Most entries here are debits. Credits are for interest or a refunded charge.

    Enter the amount and the date.

    Enter the Bank, a Reference No and any Notes.

    The reference is what lets you find the line on your bank statement again.

    Optionally link the entry to a party or a supplier.

    Useful for a cheque return, where the charge came from a particular party’s payment. It is a label, not a debt — linking it does not change what they owe.

    Save.

Reviewing the ledger

The tab totals Credited (money in) and Debited (money out) across whatever you are filtering on. You can search by party, bank, reference or notes, and filter by party, by supplier, or to entries with no party at all.

Note

Bank charges are deliberately isolated. They do not touch invoices, party balances, advance credit or the sales figures on the dashboard.

For day-to-day office spending like fuel and travel, use office expenses instead — that is where spend by employee and by category lives.
