What TracEasy does

A tour of the app, module by module, and how the pieces fit together.

TracEasy is a billing and stock system for businesses that buy goods, hold them, and sell them on. Everything runs in a browser, so the same account opens on the office desktop, a laptop at home and a phone at the counter.

The app is built around one idea: stock and money move together. A purchase bill brings goods in, an invoice takes goods out, and a payment settles what the invoice created. Nothing is typed twice.

How work flows through the app

  1. 1

    A supplier bill arrives. You enter it under Purchases, line by line.

    Each line adds stock at the cost you actually paid, with its batch number and expiry date.

  2. 2

    The goods sit in Stocks until they are sold.

    Quantities, rates and MRP are all held per batch, so two batches of the same product can have different costs.

  3. 3

    You raise an invoice under Make Invoice.

    Picking a product reduces that batch’s quantity and prices the line from what you saved.

  4. 4

    The invoice shows as unpaid on Manage Payments until money comes in.

  5. 5

    You record the payment, and the balance falls.

    A single cheque can clear several invoices at once.

    At month end you pull the registers your accountant needs from Reports.

Why your screens may differ from these pages

TracEasy is set up per trade. A pharma distributor sees batch numbers, expiry dates and drug licence fields; a print shop sees sheet sizes and printed area instead, and no expiry at all. The wording changes too — what one trade calls a Lot No another calls a Batch No.

So an article here may describe a field you do not have. Where a whole page depends on a module being switched on, there is a note at the top saying so.

The screenshots and field names in these articles use the most common setup. If a label reads differently in your account, the step is still the same one.
