How to make a credit note

  1. Enter the original invoice number and date. A credit note must point to the invoice it adjusts.
  2. Pick the reason: sales return, discount after sale, price reduced, deficiency or correction.
  3. Add the items or amounts being credited, with the same GST rate as the original invoice.
  4. Download or email it. Report it in your GSTR-1 for the month you issue it.

Common reasons

ReasonWhat to enter
Sales returnThe returned items at the original rate and GST
Discount after saleOne line for the discount value, at the invoice’s GST rate
Overcharged priceThe difference between the charged and correct rate
Expired or damaged goods returnedThe returned quantity, typical in pharma and FMCG distribution

Charged too little instead? Use the debit note generator. To check the GST on an amount, use the GST calculator.

Frequently asked questions

When do I issue a credit note under GST?

When the taxable value or GST on an invoice turns out to be more than it should be: the customer returned goods, you gave a discount after the sale, you overcharged, or the goods or services were deficient. The credit note reduces your output tax, and the customer’s input tax credit, by the same amount.

What must a GST credit note contain?

Your name, address and GSTIN; the words “Credit Note”; a serial number of up to 16 characters and the date; the recipient’s name, address and GSTIN; the number and date of the invoice being adjusted; the value, GST rate and tax amount being credited; and a signature.

Is there a time limit for issuing a credit note?

Yes. A credit note must be declared in your GST return no later than 30 November following the end of the financial year of the original supply, or the date you file the annual return, whichever is earlier.

Credit note or debit note: which do I need?

A credit note reduces what the customer owes (value or tax was too high). A debit note increases it (value or tax was too low). Use the debit note generator for the second case.
