Record office expenses
Day-to-day spend, by category and by the person who spent it.
Petrol for the delivery round, a taxi to a meeting, tea for the office. Small amounts that add up to a real number by the end of the month, and that usually live in somebody’s pocket diary.
Who can do this
adminstaffview_expensesStaff can record an expense. Editing or deleting one is admin-only, so a mis-keyed row is corrected by someone accountable rather than quietly changed.
Record an expense

Go to Operations → Office Expenses.

Add an expense and set the date.

Choose the Employee who spent the money.
This is what makes the report worth having — spend per person, not just spend.

Choose a Category: Travel, Petrol or Other.

Enter who it was Paid To and the amount.

Choose the Payment Mode — Cash, UPI, Card, Bank Transfer or Cheque — and add a reference number if there is one.

Add a note if it needs explaining, and save.
Reviewing the month
The screen totals This Month and Last Month side by side, and shows the Top Category so an unusual month is obvious without reading a single row. Search by employee, by who was paid, or by reference, and filter by category.
Every row carries a Recorded By column, so you can always see who entered it as well as who spent it.
What belongs here, and what does not

Note
Expenses are a record of spend, not an accounting ledger. They do not touch stock, party balances or your sales figures.
