What to include in a quotation

  • Quotation number and date, so you can refer to it later.
  • Valid till, the date after which prices may change.
  • Customer name and address, and their state if you want GST shown correctly (CGST + SGST or IGST).
  • Items with quantity, unit, rate, discount and GST rate. The total updates as you type.
  • Terms: payment terms, delivery time, what is and isn’t included.

Quotation, estimate or proforma invoice?

People use “quotation” and “estimate” for the same thing: a price offer before the customer decides. A proforma invoice comes a step later. The customer has agreed, and you need something that looks like the final invoice so they can arrange payment, an advance or a bank loan. None of the three is a tax document. The tax invoice is.

Tips for quotations that win

  • Quote quickly. The first clear price often wins. Your business details are saved here, so the next quote takes seconds.
  • Show the discount as a separate column rather than just a lower rate, so the customer sees the saving.
  • Use a short validity (7–15 days) when your purchase prices move often.
  • Add your UPI ID so the customer can pay an advance by scanning the QR code on the quote.

Frequently asked questions

What is the difference between a quotation and an invoice?

A quotation is an offer: the price you will charge if the customer agrees. It is not a demand for payment and is not reported under GST. An invoice is issued once the sale happens and is the legal record of the supply.

Should a quotation show GST?

It is good practice. Showing the taxable value and GST separately tells the customer the exact amount they will pay, and avoids surprises when the tax invoice arrives.

How long is a quotation valid?

As long as you say it is. Pick a “Valid till” date (7, 15 or 30 days are common) so prices do not have to be honoured forever when your costs change.

Can I turn the quotation into an invoice?

Yes. Change the Document dropdown to Tax Invoice: the customer and items stay, and only the heading and number series change.
